How
much will my transcript cost?
You'll never have to worry about how much your transcript is going to
cost because we give you the cost up front before we start transcribing.
The cost of your transcript will be based primarily on length of the recording.
The standard rate is $20 for every 6 minutes of recording. If the quality
of the audio is suboptimal (either sound quality or strong foreign accents),
the rate is $24 per 6-minute increment. NASW/AMWA members receive a 20%
discount for recordings under 1 hour. This table outlines the costs based
on recording length.

| In rare cases, if the audio is not of sufficient quality to understand most of the words, then we may need to decline the opportunity, but will let you know shortly after you have sent the recording. You will receive a price for the job within minutes of sending the recording (during business hours or first thing next day). Once we have sent you the quote and have received payment, we will return the transcript be email within hours. We may be able to arrange net 30 payment terms for some projects. How quickly can I get my transcript back?
TranscriptsNow can transcribe any length of recording within an extremely short time frame. Recordings up to 1 hour can be returned within 5 hours. If you need a transcript back sooner, let us know, and we'll try to accommodate at no extra cost (it's what we do). A transcript of up to 12 hours of recording can be delivered back within 24 hours. Transcripts of longer recordings can be delivered back within 48 hours.
How do I pay?
For recordings under 1 hour we require payment for services up front.
We provide a total cost for the project upfront (once we have your recording
and have had a listen to it). You can pay by credit card, debit card,
or your checking account can be debited at the link provided on your emailed
quote. We allow net 30 payment terms for projects of more than 1 hour
of recording and/or ongoing clients.
What if I am not satisfied with the quality of the transcript?
The only way to succeed in business long-term is to get repeat business, and we really want to earn your repeat business. We are unique in that many of our transcribers have advanced degrees (eg, an MD or a PhD) and extensive writing and editing experience. All have passed a transcribing test. Every effort is made to match the transcriber to the subject area of the recording. All transcripts are QA'ed for accuracy, also by someone matched to the subject area of the recording. Any words not understood by the transcriber are spelled out phonetically and a timestamp and is inserted eg: setuximab (32:01) (of course, we would figure out that this word was supposed to be cetuximab before sending it back to you!). The QA person fixes most or all of these before sending the transcript back to you and also looks for any spelling errors and illogical sentences. At your request, we can also smooth out the transcript even further by eliminate quirks of the spoken word, such as bad grammar and filler words.
In the unlikely event that you are not satisfied with your transcript, just let us know, and we'll see what can be done to improve it. If you are still not satisfied, we will gladly refund your money.
Do you transcribe microcassette tapes?
No. We work in a virtual system where our transcribers work remotely and want to keep the things simple by working only with mp3 or wav audio files. Also, for longer recordings, to get them done in time, we split up the sound file, which is not feasible with microcassette recordings. It is possible for us to transcribe from CDs-ROMs, but the turnaround on these recordings is obviously not as quick. We can work with dictations called into a phone line if needed. What about confidentiality?
We are strongly committed to confidentiality and we adhere to confidentiality regulations in all subject areas. All of our transcribers and assistants are required to sign a confidentiality agreement. Recordings are uploaded over a secure, password-protected interface, and discarded once the transcript has been sent. We will gladly provide disclosure statements for the particular transcriber(s) working on your recording upon request or we will sign your confidentiality agreement.
How do I upload my files?
Upload your recording here OR send us an email to tell us how to access your recording from your ftp site. If the file is under 5MB, simply email it to us. Please send an email if you have any special comments or instructions. If you have any backup materials that would help enhance the accuracy of the transcript, please email those also.
What sound file formats can you work with?
The mp3 and wav formats are preferable, but we will attempt to work with whatever format you send us, and we'll quickly let you know if we can't play the file.
